    In short

wFirma holds your sales invoices, your cost invoices and the payments recorded against both. Connect it to ChatGPT or Claude and ask in English: which supplier invoices fall due this week, whether the money clients owe will arrive in time to cover them, and roughly how much VAT you'll owe for the month. Recording a payment or resending an invoice with a reminder works from the chat too, once you've seen it and agreed.

How to connect wFirma to ChatGPT or Claude

A supplier invoice for 12,300 zł falls due on Friday, two clients are late paying you, and your accountant wants the month closed soon after it ends. wFirma has all of it: cost invoices with due dates, sales invoices, the payments recorded against them, VAT amounts. You can ask ChatGPT or Claude about any of it in plain English. There was no official wFirma connector for ChatGPT or Claude on 23 October 2026, when we checked; the steps below add it through APIUniCon.

    1. Set up APIUniCon in your AI first; the setup guide has the steps for ChatGPT and for Claude.
    2. Ask the AI to connect your wFirma account. If it wants the developer pages, the link is the wFirma API documentation (in Polish).
    3. Create the keys in wFirma. The same documentation names the place: Ustawienia » Bezpieczeństwo » Aplikacje » Klucze API (Settings » Security » Applications » API keys). Create a key there, and wFirma shows an accessKey and a secretKey.
    4. Copy the secretKey at once. wFirma displays it only on creation.
    5. Paste both keys on our page. The AI sends you the link; the keys don’t go into the chat, and we store them encrypted.

wFirma’s API also asks for a third key, the appKey. It identifies the application, not you, so APIUniCon brings its own and you have nothing more to do. Pricing shows what each plan includes.

What to ask about bills, payments and VAT

    Start with questions like these:

    • Which cost invoices fall due this week, and how much do we owe each supplier?
    • Which supplier invoices are already past their due date?
    • Which sales invoices are unpaid, and how many days overdue is each?
    • How much should come in over the next 14 days, and how much has to go out?
    • How much VAT is on this month’s sales invoices so far, and how much on this month’s costs?
    • Which clients owe us more than 5,000 zł?
    • What did we spend with each supplier in the third quarter, net and gross?
    • Which cost invoices from October are still saved as drafts?

Cases for a two-week cash plan

The figures come from a fictional Kraków agency. Connected to your account, the AI shows your own suppliers and clients.

What has to be paid this week

On Monday: “Which cost invoices fall due by Friday?” For every cost invoice wFirma keeps the due date, whether it’s paid in full and how much remains, so the AI lists the unpaid ones by date.

5 cost invoices fall due by Friday, 23,780 zł in total: a 492 zł software subscription on Tuesday, office rent 6,150 zł on Wednesday, the courier 2,214 zł on Thursday, then the printing house 12,300 zł and the accounting office 2,624 zł on Friday. One more is already 6 days late: the packaging supplier, 1,845 zł.

    Will clients’ payments cover it?

Then the other side: “Compare what clients should pay us in the next 14 days with what we have to pay.” The AI adds up unpaid sales invoices due in that window and sets them against the cost invoices.

Over the next 14 days 34,725 zł has to go out: this week’s 23,780 zł, 9,100 zł next week and the 1,845 zł already late. Sales invoices worth 31,400 zł fall due to you in the same two weeks, which leaves a gap of 3,325 zł. Two clients are overdue as well: Studio Nowak with 5,535 zł, 19 days late, and Kraft sp. z o.o. with 3,075 zł, 4 days late. If Studio Nowak pays, the gap closes with 2,210 zł to spare.

A first look at October’s VAT

Near the end of the month: “How much VAT is on October’s sales so far, and how much on October’s costs?” Sales invoices in wFirma carry their VAT total. Cost invoices carry the VAT entered into the VAT register.

October’s sales invoices so far come to 84,200 zł net with 19,366 zł of VAT. Cost invoices entered into the VAT register for October carry 7,412 zł of VAT. The difference is 11,954 zł. 3 cost invoices dated October are still drafts and aren’t counted yet.

What the AI can do in wFirma

The AI can also write to wFirma: payments, emails, drafts, notes. Each time you see exactly what it will record or send, and nothing is saved or sent until you approve it.

    • “Record that we paid the printing house 12,300 zł today.” You see the cost invoice and the payment before it’s added.
    • “Studio Nowak paid 5,535 zł yesterday, mark it.” The invoice and the payment date come up for your confirmation.
    • “Send Kraft their invoice again with a short reminder.” The AI shows the address, subject and text, and wFirma sends the invoice PDF once you agree.
    • “Draft an invoice for Studio Nowak: website maintenance for November, 2,000 zł net, 23% VAT.” It’s saved as a draft invoice, so nothing reaches the client until you send it.
    • “Add a note to the packaging supplier’s invoice: disputed, waiting for a correction.” You see the note as it will be saved.

The AI records payments in wFirma; it doesn’t make them. Transfers still happen in your bank.

    Questions and answers

wFirma's docs mention three keys. Which ones do I need?

Two: the accessKey and the secretKey you create under Klucze API in your account. The third, the appKey, belongs to the application rather than to you. wFirma issues it to each application that works with its API, and APIUniCon uses its own.

I didn't save the secretKey. Can I see it again?

No, wFirma shows it only once. Create a new key in the same tab and tell the AI “Update the wFirma key”; it sends a fresh link to our page. Note that any change to a key there replaces both the accessKey and the secretKey.

We have two companies in wFirma. Which one does the AI read?

The one you name. When a user has several companies, wFirma's API expects each request to name one, so say “for Studio Lis” or “for the second company” and the AI uses that one. It can list all the companies your user has access to.

Is the VAT figure what I'll actually pay?

Treat it as an early estimate. It is VAT on your sales invoices minus the VAT on costs already entered into the VAT register for the month. Late cost invoices, corrections and your accountant's adjustments change it. The final amount is the one in your JPK declaration.

Sometimes the AI says wFirma asked it to wait. Why?

wFirma limits requests depending on how busy its servers are and suggests running heavy queries at night. Large questions, such as a full year of costs, may hit that limit. The AI waits and continues, or you can ask for a shorter period.

Does the AI see my bank statement?

No. wFirma's API gives the AI your invoices, your costs and the payments recorded against them, not the bank statement itself. A client's transfer counts once the payment is recorded in wFirma.
