Paymo in ChatGPT and Claude: who's overbooked next week
Paymo bookings against each person's working day, tasks over their budget hours and overdue work: what ChatGPT or Claude can tell you before Monday's planning.
Contents
Before Monday's planning, ask ChatGPT or Claude who is booked past their working day next week. Paymo has both numbers for every person, plus the hours logged against each task's budget, so the same chat can list the tasks that ran over and the ones already overdue.
How to connect Paymo to ChatGPT or Claude
Monday’s planning meeting is three days away, and Marta has already said she can’t take on anything else. Whether she’s right is a sum: the hours booked for her next week against the hours in her working day. Paymo stores both, along with every hour she has logged. Paymo has no official ChatGPT or Claude app; we went through both catalogs on 23 October 2026 to be sure. You connect it yourself, with an API key and APIUniCon.
Start in Paymo. Its authentication guide says API keys are generated on the My Account page of the Paymo app, and recommends a key over your email and password for any outside software. Generate one and copy it.
Next, ask ChatGPT or Claude to connect Paymo and paste the link to Paymo’s API docs on GitHub. If you’ve never used APIUniCon, add it first with the setup guide. The AI answers with a link to our page, and the key goes there. It never appears in the chat, and we store it encrypted. After a test request the AI says which projects and people it can see.
The key acts as your Paymo user, so the AI sees the projects, tasks and bookings you can see. For a team-wide check, connect from the account you use to plan everyone’s work.
What to ask about workload and overdue tasks
Try these:
- Who is booked for more hours than their working day next week?
- Who still has free hours next week, and how many?
- Which open tasks have logged more time than their budget hours?
- What’s overdue, by person?
- How many hours did each person log this week, against their working hours?
- Which tasks due next week have nobody assigned?
- Are there bookings next week on tasks that are already complete?
- How many hours are booked on the Northwind project before 30 October?
Cases ahead of Monday’s planning
Four designers, a few clients, one week to plan: a sample studio, with names and hours to match.
Booked past the working day
“Who’s booked over their working day next week?” The AI reads next week’s bookings, Monday 26 to Friday 30 October, each tied to a person’s task with its hours per day, and sets them against each person’s working hours.
Two people. Marta works 8-hour days, 40 hours in the week, and is booked for 52: the Northwind homepage build at 6 hours a day all week, the Bakehouse brochure at 4 a day from Monday to Thursday, and a 6-hour newsletter booking on Friday. Priya works 6-hour days and is booked for 34 hours against her 30. Tom has 17 hours free, 23 booked of 40. Sam has 4, with 36 of 40 booked.
Tasks over budget
“Which open tasks have logged more time than their budget hours?” Paymo tasks can carry budget hours, and the time entries show what was actually logged. Each entry stores its duration in seconds, so the AI adds them up per task and converts the total to hours.
Three. “Homepage wireframes” for Northwind: 24 budget hours, 31.5 logged, most of it by Marta. “Logo variations” for Bakehouse: 10 budget, 12 logged. “Product photo retouch”: 6 budget, 6.75 logged. Two more are close: “Brochure layout” at 18 of 20 and “Newsletter template” at 7 of 8.
Overdue, by person
“What’s overdue, by person?” Paymo itself defines it: a task that isn’t complete and whose due date has passed. For each overdue task the AI also looks at next week’s bookings, which is where the last line of the answer comes from.
6 tasks. Marta has 3: “Homepage wireframes”, due Monday 19 October, “Banner set”, due 21 October, and “Menu redesign”, due 22 October. Priya has 2: “Menu cards print files”, due 20 October, and “Social posts for November”, due 22 October. Sam has 1, “Price list update”, due 21 October. Tom has none. Nobody is booked on “Banner set” next week.
What the AI can do in Paymo
Rebooking happens in the same conversation. Each change is spelled out first and goes to Paymo once you’ve approved it.
- “Move Marta’s brochure booking to Tom, 4 hours a day Monday to Thursday.” Bookings belong to a person’s assignment to a task, so this is three steps: add Tom to the task, book his hours, remove Marta’s booking. All three are listed before any of them happens.
- “Push the due date of ‘Banner set’ to Wednesday 28 October.”
- “Raise the budget on ‘Homepage wireframes’ to 32 hours.” Next to the new figure you see the current budget and the 31.5 hours already logged.
- “Comment on ‘Logo variations’: over budget, check with Bakehouse before another round.”
- “Book Sam for 2 hours a day on ‘Banner set’ on Monday and Tuesday.” That fills Sam’s 4 free hours. The AI adds Sam to the task first. A booking needs a start date, an end date and whole hours per day, and you see all three before it’s created.
- “Mark ‘Product photo retouch’ as complete.” Paymo then sets the task’s workflow status to Complete as well.
Questions and answers
We don't use Paymo's resource scheduling. Is this still useful?
Yes, with one part missing. Bookings come from resource scheduling, so without them the AI can't see planned hours. It can still compare the time people logged with their working day, check tasks against their budget hours and list what's overdue.
Where does someone's “working day” come from?
From their Paymo user profile. Each user has a number of working hours per day, which Paymo also uses to compute performance. A part-timer with 6 hours there gets 30 hours in a five-day week.
Can't I just give the AI my email and password?
Paymo accepts those, but its own guide recommends an API key for any outside software, and that's what APIUniCon uses. Your password stays with you.
What happens if the AI asks Paymo too often?
Paymo allows a set number of requests per period and answers “too many requests” with the number of seconds to wait. The AI waits and carries on; checking a small team's week takes only a few requests.
Do time entries from the Paymo timer count?
Yes. Paymo marks whether an entry came from the timer or was added by hand, and both kinds count towards the time logged on a task.
